Privacy Policy

Under the Privacy Act 1988 organisations and societies who deal with personal information are required to adopt a privacy policy to protect such information from being used for purposes other than that intended by the owner of the information.

The Australian Anthropological Society (AAS) Inc. Privacy Policy outlines our collection and management of personal information for the purposes of:

  • Receiving and reviewing applications for membership; 

  • Maintaining a Register of Members;

  • Providing our services to members.

 

Information Collection

The AAS collects a variety of demographic and descriptive data about its members, including names, contact details (street and postal addresses, email addresses, phone numbers), and academic and professional qualifications (education and employment history).

This information is collected from members at the point of application for membership, and may then be viewed and updated by members within the members-only section of the AAS website. Other than the required information for the application and accreditation process, members have control over what information they choose to provide.

The AAS only uses credit card information to process payments authorised by the individual. Credit card information is entered online through a secure transaction, but is not, thereafter, kept or stored anywhere in our records. The AAS uses SecurePay to process credit card transactions. 

 

Information Uses

The AAS uses personal information to a) review membership applications; b) maintain the Register of Members; and c) provide our services to members:

Membership Applications

All applications for membership to the AAS will be reviewed and processed by the AAS Membership Officer. Where an application for membership needs to be reviewed by our Accreditation Committee (AC), all information contained in the application will be provided to the AC members and treated confidentially.

Register of Members

The AAS is required, under section 8(1) of its Constitution, to keep and maintain a Register of Members, specifying the name, contact details, and membership status of each member. The AAS Register of Members is currently in the form of a digital database called Membes Association Software. 

Providing our services to members

The AAS uses personal information to communicate directly with members about their membership, and to disseminate material and information that comprise the benefits of membership, or that are relevant to membership with the AAS. 

Members may unsubscribe from our mailing lists at any time by contacting us in writing.

 

Security of Personal Information

Personal information is stored in a manner that reasonably protects it from misuse or loss and from unauthorized access, modification or disclosure. 

Our website and database provider is Membes Association Software, which is hosted in Australia (data never leaves Australia) with Rackspace, a global leader in Enterprise hosting providing the highest standard of IT security, including daily backups, multi-layered cloud firewalls, hardware firewalls, and 24/7/365 server monitoring.

The AAS computer is hosted by the Australian National University (ANU) and is therefore subject to the security protocols of the ANU IT department. The computer is password protected and receives regular updates to its operating system and anti-virus software. 

As part of our records keeping management, members’ personal information, whether they are current or lapsed members, will be retained for a minimum of seven years.

The AAS will not, under any circumstances, sell or exchange its members’ personal information with any third party interest. Information will only be passed to a third party when specifically requested by a member, or required by law.
